CASA of Jefferson County, Inc. Is Hiring: Administrative Assistant

CASA of Jefferson County, Inc. is seeking a dedicated and organized Administrative Assistant to support the daily operations of our office and help advance our mission of advocating for children involved in the court system.

This 32-hour-per-week position plays an important role in keeping our office running smoothly by providing administrative support, assisting staff and volunteers, maintaining records, preparing documents, supporting community events, and helping ensure our programs operate efficiently. This position pay 35k/yearly.

Key Responsibilities Include:

  • Welcoming visitors and providing professional, friendly assistance

  • Answering phone calls, managing correspondence, and supporting office communication

  • Preparing documents, meeting agendas, and taking meeting minutes

  • Assisting with data collection, reporting, and maintaining case records

  • Supporting volunteer advocates with technology and administrative needs

  • Helping coordinate community outreach materials and events

  • Maintaining office supplies, equipment, and organizational systems

  • Assisting with spreadsheets, presentations, and other administrative projects

  • Supporting the organization’s mission through confidentiality, teamwork, and professionalism

Qualifications:

The ideal candidate will have:

  • A professional, positive, and welcoming demeanor

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Ability to manage multiple priorities with attention to detail

  • Experience with Microsoft Office, Google Workspace, email systems, shared calendars, and office technology

  • Ability to learn databases, reporting systems, and fundraising software

  • Ability to work independently while collaborating with staff and volunteers

  • Commitment to CASA’s mission and the advocacy of children

An Associate’s or Bachelor’s degree in social work, business administration, or a related field is preferred; however, a combination of education and experience in nonprofit, social services, community-based organizations, or office administration will be considered.

The Administrative Assistant will report directly to the Program Coordinator and will receive training related to CASA advocacy, Safe Place certification, confidentiality, and program standards.
